Everything you need to know about renting with us
Booking & Payments
-
How do I book rental items? You can book through our website (with real-time availability), by phone at (647) 627-1267, or via email at contact@fableevents.ca.
-
What deposits and payments are required?Reservation Deposit: A non-refundable 25% deposit is required at booking to secure your items.
Remaining Balance + Security Deposit: The remaining 75% of the rental fee plus a refundable security deposit (equal to 25% of the total rental fee) are due 5 days before the rental start date.
High-Value Rentals (over $2,000): The final balance and security deposit are due 2 weeks before delivery.
We accept credit/debit cards, cheques, and e-transfers. -
When will I get my security deposit back?Your refundable security deposit will be returned within 7 business days after the items are returned, provided all items are in good condition (subject to inspection).
-
What is the optional Damage Waiver? For an additional non-refundable 10% of the total rental fee, the Damage Waiver covers accidental damage during normal use. It does not cover negligence, misuse, theft, loss, or intentional damage.
-
Can I make changes to my booking?Changes can be requested up to 1 week before delivery:
• Increases: Subject to availability and immediate payment.
• Decreases: Allowed up to 20% of the original total (before taxes/fees).
Cancellation Policy
-
Are deposits refundable if I cancel? All deposits are non-refundable, except if you cancel within 48 hours of booking and delivery is at least 2 weeks away — in that case, you receive a full refund of any payments made.
-
How do I cancel my booking?Cancellations must be submitted in writing via email to contact@fableevents.ca.
-
What happens if bad weather forces cancellation or rescheduling? If we recommend or require rescheduling/cancellation due to unsafe weather, deposits remain non-refundable but may be credited toward a future booking (subject to availability).
Rental Period
-
When does my rental period start and end?It starts and ends at the dates/times specified in your booking confirmation.
-
Can items be delivered or picked up outside the exact rental dates?Yes — items may be delivered or picked up up to 5 days before or after your rental period, depending on weather, availability, and prior agreement. This applies to Delivery bookings only and not customer-pickup bookings.
Delivery, Pickup & Site Access
-
What are the delivery and pickup options?• Customer Pickup/Drop-off: Pick up and return items yourself during a scheduled time slot at our warehouse.
• Delivery & Pickup by Fable Events: We handle transport to and from your venue. -
Where do you deliver to?Standard delivery is curbside, driveway, garage, or parking lot only. A clear, unobstructed path at least 4 feet wide is required for backyard or indoor access. Restricted access may limit delivery to the nearest safe point.
-
Are there extra fees for difficult access?Yes — additional labour fees apply for distances over 50 feet from vehicle access (tents), multi-floor deliveries, stairs, or other challenges. We’ll inform you in advance.
Tents - Specific Rules
-
Who sets up marquee tents (20x20 and larger)?Professional setup and teardown by Fable Events is mandatory. Customer pickup is not allowed for these tents.
-
Can I set up popup tents myself?Yes, if you choose customer pickup without setup service. You are then fully responsible for proper setup, takedown, and safe use. Popup tents are for shade/light rain only — not heavy wind or storms.
-
What about bad weather and tents?Tents are temporary structures. Never take shelter in a tent during high winds, heavy rain, thunderstorms, or lightning — evacuate immediately. We may delay or cancel setup/teardown if unsafe conditions are forecasted. Safety is our top priority.
-
Who arranges utility line locates for tent staking? You are responsible for arranging public (Ontario One Call) and private utility locates at least 7 days before delivery and providing written confirmation 5 days prior. Stakes can penetrate up to 4 feet.
-
Who is responsible for obtaining permits?Customers are responsible for obtaining any required permits (e.g., municipal event permits, road closure permits, park use permits, or special event approvals) where applicable. Fable Events does not arrange or apply for permits on your behalf. Please check with your local municipality or venue well in advance.
Care, Cleaning & Return of Items
-
How should I care for rented items?Use items only for their intended purpose with reasonable care. Monitor weather, follow provided safety guidelines, and avoid prohibited activities (e.g., cooking under tents, overloading).
-
Do I need to clean items before return?• Chairs/Tables: Simply return after use. Cleaning fees may apply if furniture is excessively dirty after use (eg. used in muddy conditions)
• Tableware (plates, utensils, glassware, etc): Quick rinse off food debris. Fable Events handles thorough washing.
• Linens: If using candles, ensure wax does not get on the linens. Shake off any food debris. Do not worry about spillage from drinks on linens. Return dry in provided bag without any rips, candle wax, or non-food/drink staining (pens, markers, etc) — do not wash.
• Chafing Dishes/Food Warmers: Wash thoroughly and return completely dry in containers provided.
• Other items: Return clean, dry, and organized as delivered. -
How should items be organized for pickup?Restack and organize items exactly as delivered (unless you purchased setup/teardown service). Incorrect organization may incur extra fees.
-
What if I perform unscheduled setup or teardown? If our team ends up performing setup/teardown without prior arrangement, a fee of 20% of the rental cost (excluding delivery) will apply per service.
